The Civil Society in the Penal System Association (CİSST) is looking for a Finance and Administrative Affairs Officer to work in its offices in Istanbul.
Duties and Responsibilities
Financial Affairs
- Preparing daily accounting records, filing documents both electronically and physically, submitting documents to the financial advisor for monthly entry and recording under the advisor's supervision
- Follow up on payment transactions and prepare appropriate accounting records
- Monitoring compliance with contracts for procurement of services, issuing expense reports
- Adding project related invoices to expense budgets and filing invoices according to procedure
- Submitting all documentation required for monthly tax declaration to the financial advisor on a monthly basis
- Submit and follow up with financial advisor on required documentation for reconciliation of monthly bank transactions and accounting records
- Assist financial coordinator and project managers with preparation of financial reports submitted to fund institutions
- Compiling the necessary documents for the payment of the staff and experts to be employed in the project and tracking the payments
- Preparing the necessary information for monthly and annual budget estimation, follow-up and reporting on realizations
- Supporting the financial coordinator in the preparation and monthly update of the cash flow statement
- Preparation and registration of supporting documents
- Perform cash transactions, control, record keeping, preparation of accounting documents.
- Participate in meetings on financial matters
Administrative Affairs
- Follow up work related to the Provincial Directorate of Civil Society Relations, such as reporting the receipt of overseas aid, membership procedures, control of monthly membership fees, reporting changes in the General Assembly and association bodies, declaration of associations
- Keep track of incoming and outgoing documents and accounting records
- Weekly regular cargo and mail transactions and their follow up
- Identify all administrative purchasing needs and make purchases in accordance with the association's general policy
- Follow up on personnel matters and personnel files
- Ensure timely payment of employee salaries and SSI accruals
- Organizing legal transactions and following up and managing processes related to official institutions
- Keeping the fixture book, embezzlement and physical follow-up of the fixtures
- Monthly review and filing of staff timesheets
- Perform necessary preparations for annual internal and external audits and assist financial coordinator in preparing reports
- Writing board resolutions in the resolution book and tracking the necessary signatures
- Prepare monthly statements and order food vouchers
- Attend to power, water, heating, and communication outages or needs necessary for the efficient operation of the office
Required Qualifications
- A degree from a college or experience in the field,
- At least 2 years of accounting and financial reporting knowledge (Logo accounting program experience preferred),
- Previous work experience in a similar position, preferably in the civil society sector,
- Proficiency with Microsoft Office programs,
- Ability to work diligently and pay attention to detail,
- Predisposition to teamwork,
- Strong communication skills,
- Peaceful, open and transparent communication,
- Technical knowledge of computers and other office equipment,
- Experience in planning and organizing own business,
- Awareness of human rights and advocacy in general,
- Commitment to CISST principles and values, [1][2]
- English communication and speaking skills (preferred).
